F BIT Communications Inc. (hereafter “our company”) regards personal information as important personal property and therefore we highly respect and observe compliance regarding how to handle personal information, and will treat personal information accurately and safely. By protecting the personal information of our customers and employees, we will try our best to be assured of their trust.

1 Our company acquires and utilizes personal information appropriately
In order to provide our services (*1), our company acquires personal information within the range of necessity and following the appropriate method. Personal information submitted by customers will be utilized under the conditions below (*2), and the personal information submitted by our employees will be utilized only for necessary procedures regarding employment, company benefits and other occasions.
(*1) Broadband service such as Internet and IP telephone, fixed-line telephone service, electricity providing service and other incidental services.
(*2) Purpose of use
  • - To confirm the identity of a customer, to confirm the content of a contract, to calculate and invoice a service fee, to inform the customer of a change of service provided by our company, to inform the customer of the date of installation, to inform the customer of the cancelation, suspension, ceasing or termination of the contract, to inform the customer of an amendment to the member’s guideline, and other occasions related to our services.
  • - To conduct sales promotions and surveys regarding our services by telephone, email, mail or other means
  • - To improve our existing services or to develop new services
  • - To respond to questions and inquiries from customers
2 Our company makes the utmost effort regarding the security management of personal information
Our company gives its assurances that personal information submitted by our customers and our employees will be managed in the appropriate way. In order to avoid illegal access, leaking of personal information or loss or damage of the personal information, we guarantee that we will follow the necessary and proper safety management procedures and provide a solution promptly if necessary.

5 Providing personal information to a third party
Out company will not provide acquired personal information to third parties except in the cases below:
  • - Providing personal information to our outsourcing contractor within the necessary range in order to achieve the purpose of use above
  • - In the case of a disclosure request from the public authorities such as courts, police and other authorities in accordance with compliance
  • - In a case when providing personal information is particularly necessary in order to protect a person’s life, body or property, or in order to promote the public health and sound development of a juvenile when it is not possible to have permission from the individual about the disclosure.

It sometimes happens that our company shares personal information (except the Social Security Number and other special information which specifies identity) with others as below:

  • Retail Electric Business Operator (*4)
  • General Energy Transmission and Distribution Operator (*5)
  • Organization for Cross-regional Coordination of Transmission Operators, Japan
[Purpose of Shared Use of Personal Information]
1) In order to execute, amend or terminate the consignation supply contract or electric-generating capacity adjustment contract (hereafter “consignation supply contract and others”)
2) n order to handle the abolition (*6) of the retail supply contract (including the contracts regarding the supply to isolated islands and the final security supply) or electricity receiving contract (hereafter “retail supply contract and others”)
3) In order to confirm information about supply (power receiving) points
4) In order to execute operations as a General Energy Transmission and Distribution Operator based on the consignation supply contract and others such as reading electricity meters, maintenance, checking, replacing facilities, examining facilities when emergency occurs such as power cut and natural disaster.
[Items of Personal Information Shared with Others]
1) Basic information: Name, address, telephone number and contract number of retail supply contract and others.
2) Information about supply (power receiving) point: Supply zone of General Energy Transmission and Distribution Operator who executed the consignation supply contract and others, information about supply to isolated islands clause, specific number of supply (power receiving) point, information about consignation supply contract, electrical current upper value, connected electrical transmission service menu, power factor, supply method, method of determination of the consignation supply contract, information about meter gauge, leading-in pole number, with or without an interconnection facility, date of transfer of the consignation supply contract, date of meter inspection, status of contract, method of decommissioning
[Administrator of Shared Personal Information]
1) Basic information: Retail Electric Business Operator who executed the retail supply contract and others (or General Energy Transmission and Distribution Operator in case the consumer is on an isolated island or receives the final security supply).
2) Information about supply (power receiving) point: General Energy Transmission and Distribution Operator who is in charge of the supply (power receiving) point in the area.
(*3) Our company shares personal information of our customers only within the necessary range with necessary business operators. It doesn’t always happen that we share the personal information of our customers with all Retail Electric Business Operators and General Energy Transmission and Distribution Operators.
(*4) Retail Electric Business Operator is a business operator who doesn’t fall under the Grounds for Refusal of Registration specified in the Paragraph 1, Article 2-5 of the Electricity Business Act (July 11th, 1964; Article 170) and is certified by the Minister of Economy, Trade and Industry as a Retail Electric Business Operator (as an additional clause was made in the part of the Electricity Business Act (2014, Article 72), it includes business operators who is considered to be registered as a Retail Electric Business Operator). (*5) General Energy Transmission and Distribution Operator includes: Hokkaido Electric Power Co., Inc., Tohoku-Electric Power Co., Inc., Tokyo Electric Power Company Holdings, Incorporated, Chubu Electric Power Co., Inc., Hokuriku Electric Power Co., Inc., Kansai Electric Power Co., Inc., Chugoku Electric Power Co., Inc., Shikoku Electric Power Co., Inc., Kyushu Electric Power Co., Inc. and Okinawa Electric Power Co., Inc.
(*6) “Handling abolition of the retail supply contract and others” implies the following case: When a company receives a new retail supply contract and others from a customer, the company takes care of the cancellation of the retail supply contract and others with the former company.

8 How to Handle Disclosure, Deletion and Other Request of Personal Information
Our company will respond promptly when the person him/herself or an agent requests the disclosure of personal information and contacts our service desk. When one requests disclosure or notification of purpose of use of personal information, we charge JPY 1,000 (incl. tax) per contract. *Depending on the content of request, an additional fee might be charged in the case of more procedures being required.
